Start with the Visit You Need to Make
Give your travel planner the arrival airport, meeting addresses, dates, passenger numbers and any public appearances. Identify who can approve changes during the visit. A schedule spanning Guarulhos, Faria Lima and an evening event needs each leg considered; a citywide service label does not tell you what the booking includes.
Your proposal should distinguish personal protection, driving and vehicle supply. Request only the roles your assessment calls for, and confirm which provider will deliver each one. An armored vehicle does not, by itself, establish the qualifications or responsibilities of the people accompanying you.
Know Who Is Responsible
Before accepting a proposal, ask for the legal identity of the local security provider, its relevant authorizations and the responsibilities it accepts for this engagement. Confirm Vanguard Attaché’s coordination role separately, along with the single contact who will handle questions and changes.
The Polícia Federal provides a public company-regularity check using the provider’s CNPJ. Compare that identity with the proposed provider and check the activities covered. A public listing is one part of diligence; your contract still needs to state the service, dates, personnel requirements and insurance coverage.
Confirm the People and Vehicle
Specify language needs, relevant protective qualifications, accessibility requirements, passenger capacity and luggage. Ask how the assigned personnel and any substitutions will be confirmed before arrival. If you travel with your own security team, settle the division of duties and reporting requirements in advance.
If an armored vehicle is proposed, ask for the documentation for that vehicle and its stated protection level. Do not treat different ballistic standards as interchangeable without supporting documentation. Confirm the vehicle supplier, condition, seating and insurance rather than relying on a model name or a photograph.
Plan the Airport and Each Appointment
Specify Guarulhos (GRU) or Congonhas (CGH), the flight and the terminal information available from the airline. Agree where the traveler will meet the provider, how delays will be communicated and when waiting charges start. Airport assistance is subject to the airport’s rules; it does not imply special immigration or customs treatment.
For Faria Lima, Vila Olímpia, Itaim Bibi, Jardins or another destination, provide the exact building entrance and your host’s contact. Confirm visitor registration, permitted vehicle access and the end time of the appointment. These are planning inputs, not claims that any district is risk-free.
For visits outside São Paulo, include the additional destination and timing in the request. Coverage and availability must be confirmed for the itinerary; a fixed service radius should not be assumed.
Get a Proposal Your Team Can Approve
Ask for a written scope showing dates, service hours, personnel, vehicle arrangements, inclusions and exclusions. Confirm the price, applicable taxes, waiting time, overtime, parking, tolls and cancellation or rescheduling terms. Availability and any urgent mobilization timeline must be confirmed in writing.
Before booking, resolve the replacement process if a person or vehicle becomes unavailable. State which changes require your approval and how extra costs will be authorized. Provide corporate vendor and insurance requirements early so the proposed providers can confirm whether they meet them.
For health or accessibility needs, share the coordination requirements necessary for the visit and confirm what can be supported. Do not assume a protection booking includes medical personnel, a hospital arrangement or specialist equipment.
Keep the Plan Usable During the Visit
Agree the coordination contact, service hours and communication method with your team. Identify who receives updates, who may share the itinerary and who can authorize a change. Confirm any confidentiality and reporting requirements with the parties delivering the service.
Use the same brief when comparing providers: itinerary, responsibilities, qualifications, vehicle documentation, insurance and commercial terms. Resolve unanswered items before confirming the booking. This gives your assistant or travel manager a concrete basis for approval.

How much does executive protection in São Paulo cost?
Request a written quote for your dates, itinerary, service hours, personnel and vehicle requirements. Confirm waiting time, overtime, taxes, cancellations and any multi-day terms before booking. No package or availability is assumed without confirmation.
Does the service include armed protection?
An armed component must be assessed and confirmed separately. Regulated armed services are delivered by appropriately licensed local partners under Vanguard Attaché direction. Confirm the provider’s identity, authorizations and responsibilities for the proposed engagement.
Can I request an armored vehicle?
Include that requirement in your request. Confirm the proposed vehicle, supplier, protection documentation, capacity and insurance before booking. Vehicle models and configurations depend on availability for your dates.
Can you arrange protection for airport transfers and meetings?
Provide the airport, flight details, meeting addresses and schedule. The proposal should state which transfers and appointments are covered, the personnel involved and how changes will be handled.
How much notice is needed?
Send the itinerary as early as practical and ask for a booking deadline and confirmation timeline. Urgent requests depend on the availability of suitable personnel and vehicles; do not assume an immediate deployment.
